Here's how to scan QR codes into Google Sheets with any phone. No app to install, and no account for the people scanning. Point the phone at a code, and the row lands in your own Google Sheet. In the next few minutes, you'll set it up, share it with a team, and see what happens when a code is scanned twice, or the signal drops. Let's start with the Sheet.

Connect your Google Sheet and create a scanner link

Sign in at qrtosheets.com, and open Scanners. Click Connect Google, and approve it. We ask for the narrowest permission: only the spreadsheets you choose, and nothing else in your Drive. Once it says Google connected, create a scanner link. Name it after the place you'll scan, like Front door. Then choose where the rows go, right inside the same form. Open Google Picker to use a spreadsheet you already have, or click Create a sheet for me, and we'll set one up. Click Create link. You get a short scanner link, and its QR code. Copy the link to send it, or download the QR code, so workers can open the scanner with their camera.

Scan from any phone browser, no app or account

Now open that link on a phone. Any browser works, on Android or iPhone. There's nothing to install, and nobody has to sign in. Tap Start camera, and allow camera access when the browser asks. Hold a code inside the box. Beep. A green check, and it says: Recorded and synced to Google Sheets. Back in your Sheet, the row is already there. If a label is too damaged to scan, type the value into manual entry.

Share one link to multiple phones

Scanning with a team? You don't set anything up again. Send the same link by text, email or chat, and each phone opens the same scanner. Every scan lands in the same Sheet, in the order it happened. The free plan covers one phone. For a team, Premium is $7 per device per month. Each phone shows up under Devices, so you can see which phones are scanning.

What gets recorded in each row

So what's in each row? The time of the scan, the code's value, the link it came from, your workspace, and the type of device. Times are written in your workspace's time zone. You set it once, in Settings. If one code holds several values, like a badge number, name and ticket type, turn on column mapping. Split by separator, and each part gets its own column, right after the tracking columns.

What happens if a code is scanned twice

What happens if the same code is scanned twice? The scanner turns amber. Already scanned, two times on this link. It's a warning, not a block. The scan is saved anyway, and the row still lands in your Sheet. So a real second visit is never lost, and an accidental double scan is easy to spot.

Does it work without signal?

Does it work without signal? You do need signal to open the link. But if it drops in the middle of a shift, keep scanning. Each scan is saved on the phone, and it tells you it will sync when the connection is back. When the signal returns, those scans go to your Sheet on their own. And at any time, you can download a CSV backup straight from the phone.

QR code attendance and check-in
