Getting started

How do I scan QR codes into Google Sheets?

Sign up, connect your Google account in the admin, pick your spreadsheet and tab, then create a scanner link. Copy that URL and share it with your field team — when they open it on any phone browser and scan a QR code or barcode, the result appears as a new timestamped row in Google Sheets instantly.

How long does setup take?

Under five minutes from sign-up to deployed scanner link. You connect Google once, pick a spreadsheet, configure the scanner link, and the URL is ready to share. There is no developer setup, no IT ticket, and nothing to install.

Do I need a Google account?

The admin (you) needs a Google account to connect a Google Sheet. Field workers do not — they only need the scanner link URL.

Scanning and QR codes

What types of codes can it scan?

QR codes and most standard 1D and 2D barcodes: Code 128, Code 39, EAN-13, EAN-8, UPC-A, UPC-E, ITF, and more. Scanning uses the device camera via the browser — no app required. Workers can also upload an image of a code or type a value manually if the camera is unavailable.

Which devices and browsers does it work on?

Any modern smartphone or tablet with a camera — iPhone (Safari), Android (Chrome, Firefox), and desktop browsers. The scanner link opens directly in the browser with no app install required.

What happens if there is no internet connection?

Scans are saved to the device first, then synced to Google Sheets when the connection returns. Workers keep scanning normally even when signal drops — the data catches up automatically. Workers can also export a CSV backup at any time from the scanner screen.

Can multiple people scan from the same link at the same time?

Yes. One scanner link can be opened and used by any number of phones simultaneously. Each phone that opens the link counts as one registered device toward your plan limit.

Google Sheets integration

Which Google Sheets does it write to?

Any spreadsheet in your Google Drive. You pick the spreadsheet and tab during scanner link setup using the built-in Google Drive Picker. Each scanner link can write to a different Google Sheets file — useful for separate locations, job types, or shifts.

What data is written to the sheet?

By default, each scan appends a row to Google Sheets with: timestamp, scanned value, scanner email, organisation name, device type, and scan ID. Column layout can be customised per scanner link if you need specific columns or a different order.

What Google permissions does it need?

Only drive.file — the narrowest possible scope. This means the app can only access files it creates or that you explicitly share with it via the Picker. It cannot see or touch any other files in your Drive. No broader spreadsheets scope is requested.

What if my Google token expires or I need to reconnect?

The app automatically refreshes your Google access token in the background. If reconnection is ever needed (e.g. you revoked access), go to Admin → Settings → Google connection and reconnect in one click.

Admin and team management

Can I have multiple scanner links pointing to different sheets?

Yes — on Premium you can create unlimited scanner links, each writing to its own Google Sheets destination, tab, and column layout. Free plan is limited to one active scanner link.

Do field workers need accounts on QR to Sheets?

No. Workers open the scanner link URL — that is the entire worker-facing product. No sign-up, no login, no onboarding. The admin controls everything; workers only scan.

Can I see which device or worker submitted each scan?

Yes. Each row written to Google Sheets includes a device identifier and scanner email (for logged-in admins scanning) or the scanner link name (for anonymous field workers). The admin dashboard also shows a per-device scan log.

Billing and plans

How much does it cost?

Start free with 300 scans, 1 device, and 1 link — no credit card required. Premium is $7/device/month for unlimited scans, unlimited links, and as many devices as you need. No annual lock-in, cancel any month. Enterprise pricing available for large teams.

What counts as a device?

Each physical phone or tablet that opens a scanner link is registered as one device. One scanner link can be used by multiple phones simultaneously — you pay for the number of scanning stations, not the number of scans or workers.

Can I cancel anytime?

Yes. Cancel from the Billing page in your admin — you retain Premium access until the end of the current billing period, then the account moves to the Free tier automatically. No cancellation fees.

How many invitation emails can I send with the Events add-on?

The Events add-on includes up to 1,000 guest invitation emails per month. The counter resets on the 1st of each month. If you need a higher limit for a large event, contact us at hello@qrtosheets.com — we can increase it for your account.
